Custom Medical Scrubs RFQ Checklist

A buyer-ready brief helps a manufacturer assess your custom scrubs request and identify what still needs to be confirmed before a quote.

When sourcing custom medical scrubs for a hospital, distributor or private-label program, send the same core information to every potential supplier. This makes their questions and proposals easier to compare. Use the six points below as a working checklist, not as a substitute for an approved specification or purchase order.

  1. 1. Define the garment and intended use

    State whether you need scrub tops, trousers or sets, and identify the wearers and working environment. Share reference sketches, measurements or an existing sample if available. If you need a particular pocket layout, neckline, waistband or fit, describe it instead of relying on a product photo alone.

  2. 2. Give sizes, colors and quantity by variant

    Provide a size chart or target size range, preferred colors and an estimated quantity for each style, color and size. If the allocation is not final, mark it as provisional. A total order quantity by itself does not show how many variants need to be made.

  3. 3. Describe fabric requirements, not just a fabric name

    Tell the supplier your preferred composition, weight, hand feel and stretch direction if these matter. Note any care or performance requirements that must be verified for the specific order. Ask for a fabric swatch or confirmed specification before approving a production sample; a website image cannot establish fabric performance.

  4. 4. Specify every branding element

    List logo positions, approximate dimensions and whether you prefer embroidery or printing. Include artwork files when ready. If private labels, care labels or packaging are required, describe their text, placement and format. Flag any approvals needed before artwork or labels enter production.

  5. 5. Set the sample and approval sequence

    Explain whether you need a fit sample, a branded sample or both. Name the person who will approve fit, color, logo placement and packaging, and identify what must be signed off before the bulk order. Ask the supplier to confirm the sample plan and order-specific timing rather than assuming a published estimate applies to every design.

  6. 6. Share the commercial and delivery context

    Give the destination market, requested delivery window and preferred shipping term if known. Ask which information is still needed for a quote, and confirm the final price, freight scope, payment terms and production schedule in the actual order documents. Do not treat an initial RFQ as a final commitment from either side.
